Reservations:

Group Discount Room Rate: $205/night single or double
When making reservations, use the group name "Healthcare Users Group" or HUG to receive the group discount rate.

Hotel reservations must be made by April 9, 2010. After April 9th, rooms will be based upon availability and prevailing room rates. The special conference rate of $205/night will be offered three nights before and after the conference dates, based upon availability.
Hotel reservations may be made through Hotel Reservations by calling 800-234-5117  . A valid credit card number is required for all hotel reservations. Loews Vanderbilt Hotel accepts American Express, Visa, MasterCard, Diners Club, and Discover.

Hotel Cancellations

You must cancel your hotel reservations by calling Loews Vanderbilt Hotel no later than 7 days prior to your arrival to avoid a cancellation penalty (equivalent to one night room and applicable taxes.)

Early Departure Procedure

At check-in, each guest will have the opportunity to reconfirm his or her departure date.  Any guest departing prior to that date will be assessed a fifty dollar ($50) charge.

Check-In/Check-Out Times:

The hotel check-in time is 4pm and check-out time is noon.  Guests arriving before 4 pm will be accommodated as rooms become available.

Fitness Center

There is a $10 per day / per person charge for utilizing the fitness center.

Parking

Overnight Parking is $9.00 per day

Conference Attire

Business casual attire is appropriate for all meetings. Meeting rooms may be cool at times, so bring a light jacket. Evening events are casual.

Clothing & Packing Hints

First & foremost – sunscreen! The Arizona sun packs quite a wallop any time of the year – don’t let your trip be spoiled by nasty sunburn on the first day you’re there. Resort casual wear and comfortable shoes are your best bet for daytime. We suggest you bring a light sweater or jacket as the air conditioning can get a bit cool, as well for the evening when it cools off after the sun goes down. Footwear and cover-ups are required in the hotel lobby and at the resort’s casual restaurants.

To prevent any inconvenience due to delayed luggage delivery, items you might need immediately upon arrival (your swimsuit, sunblock, change of clothes, prescriptions, etc.) should be packed in your carry-on bag.

Be sure to take along the following:

  • Lots of sunscreen lotion with a high SPF!
  • Sunglasses & hat
  • Any special medicines or prescriptions
  • An extra pair of prescription glasses or contacts
  • All Blackberry and phone chargers
